Using AI for transcription - hints and tips

  • Consider whether to use one of the general-purpose AI models (e.g. ChatGPT, Claude, Gemini) or investigate one of the dedicated archival platforms (e.g. Pen To Print, Transkribus, FamilySearch full-text search, OCR2Edit, Koncile)

  • Plan for the best results by writing a good prompt:

    • Be specific about the source material

    • Set clear expectations for uncertainty

    • Request faithful reproduction, not interpretation

    • Ask for contextual notes

    • Specify formatting

    • Break up long or difficult documents

  • Understand some of the context and concerns around using AI

    • Provide clear source materials, and limit the volume of text submitted

    • Cite and record AI interactions

    • Realise AI’s limitations and make sure you verify independently

    • Be aware privacy - your text may be reused by the AI

    • Consider bias and policy of the AI tool
